Location: Tulsa, Oklahoma
Reports To: Engineering Manager

About Us: Preferred Special Combustion Engineering, a division of Preferred Utilities Manufacturing Corporation, is a leading manufacturer of combustion equipment, dedicated to delivering high-quality products and services to our clients. We are seeking a detail-oriented and proactive In-Office Project Coordinator to join our team and support various administrative and project management tasks.
Position Overview: The In-Office Project Coordinator will play a crucial role in ensuring the smooth execution of our projects by managing billing, order entry, service billing, inventory control, schedule coordination, and customer follow-up. This individual will work closely with the Project Manager and other team members to keep projects on track and ensure all administrative aspects are handled efficiently.
Key Responsibilities:
1. Billing:
- Issue CA invoices and follow up on internal requests and past due accounts.
- Ensure timely and accurate billing processes are maintained.
2. Order Entry:
- Enter all orders, including proposals, major jobs, aftermarket, and service orders.
- Ensure orders are processed accurately and in a timely manner.
3. Service Billing:
- Handle all billing activities related to the service side of the business.
- Ensure service billing is completed accurately and promptly.
4. Inventory Control:
- Assist purchasing in ensuring all inventory is accounted for and properly located.
- Maintain accurate records of inventory and assist in inventory audits as required.
5. Schedule Coordination:
- Monitor project schedules and work with the Project Manager to identify milestones.
- Keep projects on track by ensuring all deadlines are met and resources are allocated efficiently.
6. Project Assistance:
- Assist the project group with transmittals and closeout documents.
- Ensure all project documentation is completed and filed appropriately.
7. Customer Follow-Up:
- Conduct follow-up communications with customers to ensure continuous improvement.
- Gather customer feedback and relay it to the appropriate departments for action.
Qualifications:
- High school diploma or equivalent; associate or bachelor's degree in related field a plus.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with project management software and ERP systems is a plus.
- Ability to work independently and as part of a team.
- Detail-oriented with strong problem-solving abilities.
